Dental Manager

Ibn Sina Foundation is now hiring a Dental Manager who will be responsible for the operational supervision and ongoing support of dental care delivery for its state of art four dental clinics in Houston area. Responsibilities include supervision of all dental team, enabling services staff, front office and program areas including; front desk, patient services, and other facets of a primary dental care. The position will work closely with the General Manager to manage the dental clinics, their day to day operations, billing, staffing, patient services and reporting.

  • Manage four dental clinics of Ibn Sina Foundation.
  • Train the dental team to respond efficiently to patient and doctor needs and inquiries. Where necessary respond directly to their needs.
  • Ensure the delivery of quality dental care to patients by implementing processes in line with the best industry practices and rules and regulations of State Dental Board.
  • Manage patient scheduling and direct patient traffic flow at all Ibn Sina Dental Clinics.
  • Train the front desk to efficiently schedule the patients to attain the maximum utilization of dentist time for the patient care. Monitor it on daily basis.
  • Train the staff to present treatment plans to patients and answer their questions, involve in any unresolved concerns or inquiry regarding treatment plan.
  • Organize and arrange the financial arrangements to the patients as per organization financial policy and processes; in case of special arrangement, present it to General Manager for final approval.
  • Train and supervise the staff to present financial arrangements to patients.
  • Oversee the processing of dental claims.
  • Credential dentists with dental PPOs, Medicaid and CHIP.
  • Coordinate with dental insurance companies to ensure claims are paid.
  • Manage specialist referral process and ensure that all necessary follow ups are performed at all clinic by responsible staff.
  • Arrange and organize dental staff meetings; attend the staff meeting and submit the report to executive management.
  • Attend monthly manager’s meeting and other meetings by invitation.
  • Participate in the hiring process of dental staff – help General Manager recruit and select staff to meet operational requirements.
  • Identify training needs and train the staff to meet performance standards.
  • Determine staff schedules and ensure operational standards are met.
  • Manage employee relations and make certain that staff has the necessary resources and support.
  • Organize and oversee supply purchases at all clinics; ensure that the ordered dental supplies are within the budget approved by the executive management; monitor the supplies, wastage and implement strategies to minimize the wastage and control inventory.
  • Review the operational and management reports on daily basis including, but not limited to dentist production, patient no-shows, missed appointment, daily collections, billing and account receivables; identify areas need improvement, develop and implement the plan with the General Manager.
  • Evaluate and monitor the impact of plan and make necessary changes to achieve targets set by the executive team.
  • Support marketing and promotion initiatives by attending and staffing dental team to support the overall community and program needs.
  • Maintain patient data according to regulations of State Board and Ibn Sina Foundation policies.
  • Ensure that dental records are stored securely in all dental clinics and in compliance with privacy and security regulations.
  • Maintain facilities and equipment in accordance with hygiene and safety regulations set by the OSHA and other regulatory agencies.
  • Maintain the records and reports necessary for the new or renewed registration of the X-rays with TDSHS Radiation department; participate in audits, prepare corrective action plan and implement.
  • Facilitate the dental director in dental chart reviews on weekly basis for all dentist working in the organization.
  • Travel to all locations of dental clinic on regular basis and provide support and training to the dental staff.

 

Education, Experience and Competencies

  • Bachelors in Healthcare Administration or Public Health.
  • Registered Dental Assistant will be a bonus.
  • 2-3 years of experience in managing multiple Dental offices.
  • 2 years in leadership position with staff supervision experience.
  • Strong Computer and database skills preferably with Dentimax and MS. Office.
  • Bilingual English/Spanish preferred.
  • Able to manage projects independently and take the lead with little direct supervision.
  • A good team player.
